Budget burn rate
Budget burn rate measures the speed at which a project's budget is being consumed relative to how much work has been completed. It is one of the most important real-time indicators of whether a project is on track financially. A project burning budget faster than work is progressing is heading toward an overrun; one burning slower may be under-delivering.
How to calculate burn rate
Burn rate is typically expressed as the percentage of budget consumed to date, compared against the expected percentage at this point in the project. If a project is 50% through its timeline but has used 70% of its budget, the burn rate is unfavourable.
Some agencies track burn rate in hours (hours consumed vs hours budgeted) rather than in monetary value, since the data comes directly from time tracking and avoids the need to translate hours into costs at the tracking stage.
Burn Rate = (Budget Used to Date / Total Project Budget) Γ 100
Compare against expected progress: if this percentage significantly exceeds % work complete, the project is at risk of overrun.
Using burn rate in project management
Reviewing burn rate weekly on active projects gives project managers early warning of scope issues, inefficiency, or under-scoping. A project that reaches 80% burn at the halfway point of delivery has a problem that is much easier to address early than at 95% burn with significant work remaining.
Burn rate data is also useful for retrospectives. Projects that consistently burn too fast often have a common cause: a role that is consistently over-estimating hours, a specific client type that generates more revision rounds, or a service line that is systematically under-priced.
Example
A project has a budget of 120 hours. After three weeks of a six-week project, the team has logged 72 hours β 60% of the total budget. But only 40% of the agreed deliverables have been completed. Burn rate is running at 1.5Γ the expected pace. The project manager flags this immediately to either renegotiate scope with the client or adjust the delivery approach.
