Migration guide

Move from Forecast (now Accelo) to Pike

Export Forecast’s standard reports as CSV, map them to Pike templates, and connect the ledger Forecast exports invoices to. Budget five to six weeks to cutover.

Available now

Forecast exports its standard reports as CSV: the Task Report, the Project Portfolio Report and the Time Registered Report. Each maps to a Pike template once you flatten its groupings.

  1. 1Open the Project Portfolio Report, add every column you plan to map, save the report, then click the export button next to Save report. The CSV includes the visible columns of the last saved version and only the first layer of any grouping.
  2. 2Export the Task Report as CSV. It downloads every row regardless of grouping, up to 50,000 rows per export.
  3. 3As an Admin, Controller or Coordinator, run the Time Registered Report per year with no grouping and export it as CSV. Nested groupings do not export.
  4. 4Upload customers, projects, phases, members, tasks, then time entries and allocations under Workspace settings → Integrations → CSV, using the Forecast column mapping.

Forecast’s help centre names no export for people, clients or allocations. Pull them through the Forecast API (persons, clients, allocations), or take clients from your ledger and people from your user list.

Available now

Forecast exports invoices to Xero, QuickBooks Online, e-conomic and Sage Intacct, and syncs with HubSpot, Pipedrive and Salesforce. Pike connects to each, so connect the same ledger and Pike imports your invoice history from it.

  1. 1In Pike, go to Workspace settings → Integrations, add the accounting system Forecast exports invoices to and run Import data for customers and invoice history.
  2. 2Add HubSpot, Pipedrive or Salesforce if Forecast reads clients or deals from it today, so Pike customers and deals match the CRM.
  3. 3At cutover, disconnect the accounting and CRM integrations under Admin → Integrations in Forecast, so only Pike sends invoices from Monday.

Forecast locks an invoice once it exports to Xero, and Xero sends later edits back to Forecast. The ledger Pike reads records the final version.

Forecast sets one rate card per project, and project financials use the rates the card stores now. Pike reads one `hourlyRate` per project, so take the rate of the role that logs most hours on each project and add task rates in Pike where other roles bill differently.

Forecast stores an internal hourly cost per person with an effective date, visible to Admins and Controllers only. An Admin copies the current cost into each Pike cost profile before the pilot.

Map Fixed Price to `fixedFee`, Time and Materials to `timeAndMaterials` and Non-billable to `nonBillable`. Forecast budgets Fixed Price projects in money, and Retainer projects in periods with a price or hours target, which fit a Pike retainer.

The plan

Seven steps out of Forecast (now Accelo)

The same steps as the main migration guide, with this tool's screens and settings.

  1. Week 1

    1

    1Week 1 · Migration owner, finance

    Freeze scope and export

The files you export in week one are what Pike imports. Freeze edits in Forecast before you export.

    • Pick a cutover Friday after the month’s invoices export from Forecast to your ledger.
    • Save and export the Project Portfolio Report and the Task Report, then the Time Registered Report one year per file with no grouping.
    • Pull people, clients and allocations through the Forecast API, and write down the date of your first export.

    Clean the exported files

Work in copies of the Forecast files. Most of the work is minutes, budget types and stages.

    • Give every client a customer number from the ledger and add it to every project row.
    • Map each budget type to `billingType`, and move Opportunity stage projects to the deals file.
    • Divide time registrations and allocation minutes by 60, and map Not submitted, Submitted and Approved to `draft`, `submitted` and `approved`.

    Build the workspace shell

Admins set up Pike before the first upload, so imported projects have a team and a rate on day one.

    • Create teams and positions that match your Forecast departments and roles. Invite admins and project owners only.
    • Connect the ledger Forecast exports invoices to and run Import data for customers and invoice history.
    • Set a cost profile for each billable person from their current internal hourly cost.

    Upload in dependency order

Upload under Workspace settings → Integrations → CSV. Pike reports a row it cannot match with its line number.

    • Upload customers, projects, phases, members and tasks, then one time entries file per year, then allocations.
    • Fix rejected rows and upload them again. Pike matches each row on its project number or email and updates the record.
    • Open one Fixed Price and one Time and Materials project and compare budget, rate and last month’s hours with Forecast.

One team in Pike for a sprint

CSV has no ongoing sync, so the pilot team moves fully to Pike while everyone else works in Forecast.

    • The pilot team logs time in Pike only. Everyone else registers and submits time in Forecast until cutover.
    • Finance approves pilot time in Time admin and sends one invoice from Pike in place of Forecast.
    • Compare the pilot project’s margin in Pike with Forecast. A gap means a rate card or internal hourly cost needs a fix in Pike.

    Cutover weekend

Close Forecast on Friday evening and upload every hour registered there since your first export.

    • Run the Time Registered Report from your first export date to Friday, leave out the pilot team, and upload the rows.

    • Approve all time, invoice every billable project from Pike, and check each invoice appears in your ledger.

Questions

Moving from Forecast (now Accelo): common questions

Why is our Time Registered export missing detail?

Forecast exports only the first layer of a grouped report. Remove the groupings, or group by nothing, and export again.

Does the Accelo rebrand change our export?

No. Accelo states that Forecast logins, data, projects and integrations are unaffected by the brand change, and forecast.app now redirects to Accelo.com. The reports and API in this guide apply as before.

What happens to time that is not approved?

Forecast shows only approved time in Invoicing, but project actuals and budgets count all registered time. Map Approved to `approved`, Submitted to `submitted` and Not submitted to `draft`.

Can Pike import our Forecast invoices?

Not through CSV. Forecast exports invoices to Xero, QuickBooks Online, e-conomic or Sage Intacct, so connect that ledger to Pike and Pike imports invoice history from it.

How do we move Forecast allocations?

The Forecast API lists allocations with minutes for each weekday. Sum the minutes, divide by 60 and upload them to the Pike allocations template as `hoursPerWeek`.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
