Move from Teamwork.com to Pike

Export Teamwork.com project lists, task list reports and the Time report as CSV, upload them to Pike templates, and connect your ledger. Budget five to six weeks.

Available now

Teamwork.com exports the project list, each task list report and the Time report as CSV or Excel, so you export one file per entity and upload each to the matching Pike template.

  1. 1Go to Projects → See All Projects, switch to list view on the All Projects category, then click the options button and Export → CSV. Use CSV or Excel, since the PDF export excludes project health and custom fields.
  2. 2Export people from More → People, options button, Export to Excel, and save the file as CSV UTF-8. Export each task list from its task list report, choosing CSV on the Format tab.
  3. 3Open Reports → Time, set the date range and filters, then click ... → Export → CSV. Site admins see time on every project, project admins only on the projects they administer, so a site admin runs this export.
  4. 4Upload customers, contacts, projects, phases, members, tasks, then time entries under Workspace settings → Integrations → CSV, using the Teamwork.com column mapping.

The Time report lists a task only when it is assigned to one user (not a team), has a start or due date, and has time on it. Check the report’s hour total against Projects → All time before you upload, and pull missing logs from the Teamwork.com API v3 time endpoints.

Available now

Teamwork.com exports invoices to QuickBooks Online, and to Xero as a file or through the older Xero Online connection, so your invoice history already exists in the ledger. Connect the same ledger to Pike.

  1. 1Connect QuickBooks or Xero under Workspace settings → Integrations and run Import data before you upload any Teamwork.com CSV. Pike imports customers and invoice history from the ledger.
  2. 2Use the ledger customer numbers as `customerNumber` in your projects file, so each Teamwork.com company links to the right ledger customer.
  3. 3If your team links HubSpot deals and companies to Teamwork.com projects, connect HubSpot to Pike so deals in Pike match the HubSpot pipeline.

Teamwork.com marks time logs as invoiced once they go on an invoice, and they can no longer be edited. Map those rows to `invoiced` `yes` so Pike does not bill them twice.

InvoicesInvoice history from accountingPike imports invoices from the QuickBooks or Xero ledger Teamwork.com exported them to.Nothing. The CSV route does not import invoices.

Teamwork.com picks a bill rate in this order: project rate, client role rate, role rate, then the user’s site-wide billable rate. Pike takes one `hourlyRate` per project, so use the project rate where one exists and the user rate otherwise.

A Time & materials budget counts Time in hours or Financial in money, which fill `budgetHours` or `budgetAmount`. Map Fixed fee budgets to `fixedFee`, Time & materials to `timeAndMaterials`, and rebuild Retainer budgets as Pike retainers.

Cost rates come only from each user’s site-wide cost rate, set by owner company site admins, and no project overrides them. Set one Pike cost profile per member from that rate.

The plan

Seven steps out of Teamwork.com

The same steps as the main migration guide, with this tool's screens and settings.

  1. Week 1

    1

    1Week 1 · Migration owner, finance

    Freeze scope and export

The CSV route copies a snapshot. A site admin runs every export the same day, since project admins see only their own projects’ time.

    • Pick a cutover Friday after the month’s invoices go from Teamwork.com to QuickBooks or Xero.
    • Export the project list, the People list, one task list report per task list, and Reports → Time as CSV or Excel. Copy each project’s budget and rates from Finance → Budgets into a sheet.
    • Keep the raw files unchanged in one folder. Deleting a Teamwork.com site removes every project, task and file permanently, so this folder is your archive.

    Clean the exported files

Clean the CSV files. Nobody edits Teamwork.com after export day.

    • Give every company a customer number and every project a project number, and use the same numbers on task and time rows.
    • Map each budget type to `fixedFee` or `timeAndMaterials`, and each task list to a phase.
    • Check each user has the email they will sign in to Pike with. Pike matches time rows to members by email.

    Upload in dependency order

Customers, contacts, projects and phases, then members, tasks and time. Pike reports a row it cannot match with its line number.

    • Download each Pike template first, then upload under Workspace settings → Integrations → CSV. Re-upload fixed rows: Pike matches on the key and updates the record.
    • Turn each Teamwork.com Retainer budget into a retainer on its Pike project, with period, hours and fee.

One team in Pike, the rest in Teamwork.com

CSV has no ongoing sync, so the pilot team moves fully to Pike while everyone else logs time in Teamwork.com.

    • The pilot team logs time in Pike only. Everyone else logs and submits time in Teamwork.com.
    • Finance approves pilot time in Time admin and sends one invoice from Pike in place of a Teamwork.com invoice.
    • Compare the pilot project’s margin with its Teamwork.com budget. A gap means a rate or cost profile needs a fix in Pike.

    Cutover weekend

Close Teamwork.com on Friday evening. Everyone opens Pike on Monday.

    • Friday: approvers clear the Approvals tab. A site admin exports Reports → Time for the dates since the first export and uploads those rows to Pike.
    • Cancel the plan under Subscription → Plan management → Cancel plan. The site moves to Free Forever at the end of the billing cycle: five standard users, five active projects, every other project archived and read-only.
    • If you pay through PayPal, cancel there as well. Cancelling in Teamwork.com does not stop PayPal charges.

    • Filter Teamwork.com time for billable logs that are not invoiced from before cutover, and bill them from Pike.

Questions

Moving from Teamwork.com: common questions

Why does our Time report export show fewer hours than Teamwork.com?

The Time report lists a task only when it is assigned to one user, has a start or due date, and has time logged. Compare the total with Projects → All time, and fill gaps from the API before you upload.

How do Teamwork.com budgets come into Pike?

Budgets do not appear in the project list export, so copy each one from Finance → Budgets. Time & materials budgets fill `budgetHours` or `budgetAmount`, Fixed fee maps to `fixedFee`, and Retainer budgets become Pike retainers.

Which Teamwork.com rate goes into Pike?

Teamwork.com applies a project rate first, then client role and role rates, then the user’s site-wide billable rate. Use the rate your clients pay on each project as its `hourlyRate`.

Can Pike import our Teamwork.com invoices?

Not through CSV. Teamwork.com exports invoices to QuickBooks Online or Xero, so connect that ledger to Pike and Pike imports invoice history from it.

What happens to our data when we cancel Teamwork.com?

The site moves to Free Forever at the end of the billing cycle, with your data intact. The five most recently updated projects remain active, and Teamwork.com archives the rest as read-only. Deleting the site removes all data permanently.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
