Move from Trello to Pike

Export each Trello board as CSV, upload boards as projects and cards as tasks, and set up clients, rates and budgets in Pike. Budget about five weeks.

Available now

Trello stores boards, lists and cards, so the CSV route brings over projects and tasks. Clients, rates, budgets and time come from your accounting system and from Pike setup.

  1. 1Open each board’s menu, choose Print, export, and share and export as CSV. CSV export needs a Premium Workspace. On other plans, every board member can export JSON.
  2. 2The board CSV leaves out archived cards. Add `.csv` to the end of the board URL and press Enter to download open and archived cards together.
  3. 3As a Workspace admin on Premium, go to the Workspace Settings → Export for every board, card, member and attachment in one export, and tick Include raw attachments for the files.
  4. 4Upload projects, phases, members, then tasks under Workspace settings → Integrations → CSV, using the Trello column mapping.

The CSV export does not include comments. The JSON export includes the 1,000 most recent actions on a board, comments among them, and cards in your Inbox do not export at all: move them to a board first.

Available now

Trello stores no clients or invoices. Connect the accounting system your team invoices from, and Pike imports the customer list your Trello boards were for.

  1. 1In Pike, go to Workspace settings → Integrations, connect your ledger and run Import data before you upload any Trello file.
  2. 2Write each board’s customer number into the projects file, using the numbers from the ledger import.
  3. 3Invoice from Pike from cutover. The ledger’s invoice history imports with the customers.

Entity map

What each Trello record becomes in Pike

Column one uses Trello’s labels. Trello’s help centre describes no clients, rates, budgets or time entries, so those start in Pike.

Trello stores no bill rates, cost rates or budgets. Set `billingType`, `hourlyRate` and `budgetAmount` on each board’s project row from your quotes or ledger.

If your team tracked estimates in a Number Custom Field, sum them per board and use the total as `budgetHours`.

An admin sets cost profiles for every member before the pilot, so project margin shows from the first week of time in Pike.

The plan

Seven steps out of Trello

The same steps as the main migration guide, with this tool's screens and settings.

  1. Week 1

    Migration owner

    1

    1Week 1 · Migration owner

    Freeze scope and export

Trello exports are a snapshot of each board. Note the date: cards changed after it need updating by hand.

    • List every board that is client work, and move Inbox cards onto a board.
    • Export each board as CSV with archived cards (board URL plus `.csv`), and as JSON for comments.
    • On Premium, run a Workspace export with raw attachments, and save every file untouched in one dated folder.

Done when: One CSV and one JSON per client board in a dated folder, plus the Workspace export.

    2

    2Week 1 to 2 · Operations lead

    Clean the exported files

Most of the work is adding what Trello does not store: client, billing type, budget and rate per board.

    • Build one projects file with a row per board, and fill project number, customer number, billing type, budget and rate.
    • Decide per board whether lists map to task status or to phases, and write the mapping down.
    • Replace member names on cards with the email each person will sign in to Pike with.

    Build the workspace shell

Connect the ledger first, so the customer numbers in your projects file match the customers Pike imports.

    • Create teams and workspace roles, and invite project leads.
    • Connect your accounting system and run Import data.
    • Set a cost profile for everyone who will log billable time.

    Upload in dependency order

Projects, phases, members, then tasks. Pike reports a row it cannot match with its line number.

    • Upload each file with the Trello column mapping open next to it.
    • Fix rejected rows and upload them again. Pike matches on project number and updates the record.
    • Open three projects and compare card counts per list with the Trello board.

One team in Pike for a sprint

CSV has no ongoing sync. The pilot team moves its boards’ work to Pike and logs time there, and other teams work in Trello until cutover.

    • Pick a team with an active client board and an invoice due. They stop editing their Trello boards from Monday.
    • The pilot team logs every hour in Pike, and finance approves it in Time admin.
    • Finance sends one invoice from Pike from that logged time.

    First month-end in Pike

Done when finance closes a month from time logged in Pike.

    • Approve all time and invoice every billable project from Pike.
    • Run a final Workspace export with raw attachments for the archive.
    • A Workspace admin cancels under Billing → Cancel. Paid features run until the period ends, then Trello closes every board outside the 10 most active, without deleting it.

Questions

Moving from Trello: common questions

We do not see Export as CSV in Trello. Why?

CSV export is for boards in Premium Workspaces. On other plans, export JSON from the same menu and convert it to CSV, or move the board into a Premium Workspace first.

Why are archived cards missing from our CSV?

The board CSV export leaves out archived cards. Add `.csv` to the end of the board URL and press Enter to download open and archived cards in one file.

Do Trello comments move to Pike?

No. The CSV export does not include comments. Keep the JSON export, which includes the 1,000 most recent actions per board, or the Workspace export for full history.

Can we import time from Trello?

Trello’s help centre describes no time tracking, so there is no time file to upload. The pilot team starts logging time in Pike from day one.

What happens to our boards after we cancel Trello Premium?

The Workspace becomes free at the end of the billing period. Trello closes every board outside the 10 most active without deleting it, and boards are view-only until collaborators drop below 10. Data from paid features is hidden, not deleted.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
