Migration guide

Move from Avaza to Pike

Run the raw reports in Avaza’s Exports section, save them as CSV and upload them to Pike templates, with five to six weeks from first export to cutover.

Available now

Avaza groups its raw data exports under Reports → Exports: one report each for customers, contacts, projects, tasks, timesheet entries and expenses, with no totals or formatting. Only Administrators see this section.

  1. 1Sign in as an Administrator and open Reports → Exports. Finance Managers can run other reports but not these.
  2. 2For each of Customers, Contacts, Project List Export, Project Member Export, Task Export, Timesheet Entries and Expense Export, set the date range and filters, set Show Columns where the report has it, and click Preview.
  3. 3Click the cloud icon and choose Microsoft Excel (.xlsx). The report viewer offers no CSV, so save each workbook as CSV UTF-8 in your spreadsheet program.
  4. 4Upload customers, contacts, projects, members, tasks, time entries and expenses under Workspace settings → Integrations → CSV, using the Avaza column mapping.

Avaza’s help centre does not say whether the export reports include archived projects or archived users. Compare each file’s row count with the matching list in Avaza before you upload.

Available now

Avaza syncs invoices, payments and customers to QuickBooks Online, and invoices to Xero. Connect the same ledger to Pike, and Pike imports customers and invoice history from it.

  1. 1In Pike, go to Workspace settings → Integrations, add QuickBooks or Xero and run Import data before you upload the Avaza customer file.
  2. 2Match each Avaza customer to its ledger customer number and write that number into the `customerNumber` column of your customer and project files.
  3. 3At cutover, an Avaza Administrator disconnects the QuickBooks or Xero app under Settings → App Marketplace, so only Pike sends invoices to the ledger from Monday.

Avaza’s QuickBooks sync skips retainer invoices, and its Xero sync copies only invoices created after the Integration Start Date. Check older and retainer invoices in the ledger before you rely on the Pike import for history.

Avaza sets the bill rate through each project’s Billing Method: Person Hourly Rate, Category Hourly Rate, Project Hourly Rate, Do not apply hourly rate, or Not Billable. Enter the rate the project bills at as `hourlyRate`, and set task rates in Pike where a project billed by timesheet category.

Map Budget Type to Pike: Total Project Fees to `budgetAmount`, Total Project Hours to `budgetHours`, and sum Person Hours or Category Hours budgets into `budgetHours`. Projects on Not Billable with fixed amounts per task import as `fixedFee`, with the fixed total as `budgetAmount`.

Avaza stores a Billable Rate and a Cost Rate on each person’s Person Details, and a cost amount on timesheet categories. Set each member’s Pike cost profile from the Avaza cost rate before the pilot.

    Freeze scope and export

The first export is your migration data. Write down its date, because you run Timesheet Entries again for the days after it at cutover.

    • Pick a cutover Friday after your last Avaza invoice run of the month, and confirm two Administrators can open Reports → Exports.
    • Run every export report you need with the widest date range and save each as Microsoft Excel (.xlsx).
    • Keep the raw workbooks unchanged in one folder, and save CSV copies in a second folder for cleaning.

    Clean the exported files

Clean the CSV copies. Nobody edits Avaza after export day.

    • Give every customer a customer number and copy it onto each project and contact row.
    • Turn each project’s Billing Method and Budget Type into `billingType`, `hourlyRate`, `budgetAmount` and `budgetHours`.
    • Map timesheet status: Approved and Automatically Approved to `approved`, Pending to `submitted`, Draft to `draft`, and Invoiced to `approved` with `invoiced` = `yes`.

    • Add project members in Pike from the Project Member Export.

One team in Pike, the rest in Avaza

On CSV there is no ongoing sync. The pilot team logs time in Pike only, and everyone else submits Avaza timesheets until cutover.

    • Pick a team with an active client project and an invoice due. They stop submitting Avaza timesheets from Monday.
    • Finance approves pilot time in Time admin and sends one invoice from Pike to the ledger in place of Avaza.
    • Compare the pilot project’s margin with Avaza’s Project Profit Margin Analysis report. A gap means a rate or cost profile needs a fix in Pike.

    Cutover weekend

Close Avaza on Friday evening and upload the time logged since your first export.

    • Run Timesheet Entries from the day after your first export to Friday, save it as CSV and upload those rows to Pike.
    • Archive team members under Contacts → Team Members in place of deleting them. Archiving removes their roles and access and retains their history.

    First month-end in Pike

Done when finance closes a month without opening Avaza.

    • Approve all time, invoice every billable project from Pike and check each invoice reaches the ledger.
    • Cancel by switching to the Free plan on the Subscription page. Avaza states the data remains and you can still sign in, view and export it.
    • Run every export report again for the archive. Avaza may delete Free accounts nobody has signed in to for more than 6 months.

Questions

Moving from Avaza: common questions

Why can we not export Avaza reports as CSV?

The Avaza report viewer offers PDF, Excel, Word and other formats, but no CSV. Export to Microsoft Excel (.xlsx) and save the file as CSV UTF-8 before you upload.

Why are some reports missing columns we need?

Avaza limits reports outside the Exports section to 11 columns. Use the raw export reports, and set Show Columns and Sort Columns before you click Preview.

How do Avaza timesheet statuses map to Pike?

Approved and Automatically Approved map to `approved`, Pending to `submitted`, and Draft to `draft`. Invoiced entries import as `approved` with `invoiced` = `yes`. Decide with finance whether Rejected time imports at all.

Can Pike import our Avaza invoices?

Not through CSV. Connect QuickBooks Online or Xero, which Avaza syncs invoices to, and Pike imports invoice history from the ledger. Check retainer invoices and invoices from before your Xero Integration Start Date separately.

What happens to our data when we cancel Avaza?

Cancelling moves the account to the Free plan, where the data remains and you can still sign in and export. The account must fit the Free plan’s limits first, so archive extra users and projects before you switch.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
