Move from BigTime to Pike

Export BigTime lists and the Timesheet Detail report, map them to Pike CSV templates, and connect the ledger BigTime posts invoices to. Budget five to six weeks to cutover.

Available now

BigTime exports the Client, Project and Staff lists from their toolbars and every timesheet entry from the Timesheet Detail report, which BigTime’s glossary names as its template for data export.

  1. 1On the Project List, tick Include inactive/completed projects, then click Export and choose Excel. Export the Staff List the same way, and the client list as CSV from the download icon. The client export follows your current filters, so clear them first.
  2. 2In the Report Center, run Timesheet Detail for every year you keep and export to XLSX or XLS. Add the bill rate, cost rate, billable hours and approval status columns where your report offers them.
  3. 3Run Project Budget Status for projects that use the project budget style, and save the file next to the lists. BigTime sets hours and fee budgets per task, so you need these totals for the project rows.
  4. 4Upload customers, contacts, projects, members, tasks, then time entries under Workspace settings → Integrations → CSV, using the BigTime column mapping.

BigTime’s help centre does not say whether the Project List export includes inactive projects when the checkbox is ticked, or whether reports cap the row count. Compare each file’s row count with the screen before you upload.

Available now

BigTime posts invoices to QuickBooks and lists integrations with Sage Intacct, Xero, NetSuite, Business Central, Salesforce and HubSpot. Pike connects to each, so connect the ledger BigTime posts to and Pike imports invoice history from it.

  1. 1In Pike, go to Workspace settings → Integrations, add the accounting system BigTime posts invoices to and run Import data for customers and invoice history.
  2. 2If BigTime imported customers from QuickBooks, each one exists as a client and a job in BigTime. Use the QuickBooks customer as the Pike customer and the job as the project.
  3. 3At cutover, stop posting invoices from BigTime, so only Pike sends invoices to the ledger from Monday.

BigTime posts an invoice to QuickBooks once and makes no further updates to it. Any correction made in QuickBooks after posting is already in the ledger Pike reads.

BigTime gives each staffer up to five billing rates, and each project picks one as its base rate. Custom billing rates per staffer, labor category or task override the base. Pike reads one `hourlyRate` per project, so set it from the base rate and add task rates in Pike where custom rates priced work differently.

BigTime sets a default cost rate on the Staff Dashboard and custom cost rates per project, each with an effective date, and applies them when a staffer submits time. Build Pike cost profiles from the current default cost rate of everyone who logs billable time.

BigTime budgets hours, fees and expenses per task. Sum each project’s task budgets into `budgetHours` and `budgetAmount`, and map Time & Materials to `timeAndMaterials` and Fixed Fee to `fixedFee`.

The plan

    Freeze scope and export

The CSV route copies a snapshot. Any edit in BigTime after export day needs retyping in Pike.

    • Pick a cutover Friday after the month’s invoices post from BigTime to your ledger.
    • On one day, export the client list, the Project List with inactive projects included, the Staff List, Project Budget Status, and Timesheet Detail one year per file.
    • Write down the date of the export and keep the raw files unchanged in one folder with two owners.

    Clean the exported files

Work in copies of the BigTime files. Most of the work is turning task budgets and invoice types into project columns.

    • Give every client a customer number. Where BigTime stores a QuickBooks client and job, use the ledger customer.
    • Sum each project’s task hours and fee budgets into `budgetHours` and `budgetAmount`, and set `billingType` from the Default Invoice Type.
    • Check every staffer’s email against the address they will sign in to Pike with, since Pike matches members and time on `email`.

    Build the workspace shell

Admins set up Pike before the first upload, so imported projects have a team and a rate on day one.

    • Create teams and positions that match your BigTime labor categories. Invite admins and project leads only.
    • Connect the ledger BigTime posts invoices to and run Import data for customers and invoice history.
    • Set a cost profile for each billable staffer from their BigTime default cost rate.

    Upload in dependency order

Upload under Workspace settings → Integrations → CSV. Pike reports a row it cannot match with its line number.

    • Upload customers, contacts, projects, members and tasks, then one time entries file per BigTime year, then expenses.
    • BigTime records hours in decimals (1:30 is 1.5), which the Pike `hours` column takes as is. Use the logged hours, and keep billable hours for the billable check.
    • Open one Fixed Fee and one Time & Materials project and compare budget, rate and last month’s hours with BigTime.

One team in Pike for a sprint

CSV has no ongoing sync, so the pilot team moves fully to Pike while everyone else works in BigTime.

    • The pilot team logs time in Pike only. Everyone else logs and submits in BigTime until cutover.
    • Finance approves pilot time in Time admin and sends one invoice from Pike, while the rest of the team invoices from BigTime.
    • Compare the pilot project’s margin in Pike with BigTime. A gap means a custom billing rate or cost rate needs a fix in Pike.

    Cutover weekend

Close BigTime on Friday evening and upload every hour logged there since your first export.

    • Friday: everyone submits and managers approve the week in BigTime. BigTime locks submitted entries, so staffers correct entries before they submit.
    • Run Timesheet Detail from your first export date to Friday, leave out the pilot team, and upload the rows.
    • Set every staffer except one admin to an inactive status. BigTime stores their history and removes their access.

    First month-end in Pike

Done when finance closes a month without opening BigTime.

    • Approve all time, invoice every billable project from Pike, and check each invoice appears in your ledger.
    • Compare against your last BigTime month: days to invoice, unbilled hours at close, margin by project.
    • Export Timesheet Detail and the lists once more for the archive before the account owner contacts BigTime to close the account.

Questions

Moving from BigTime: common questions

Which BigTime report do we use for time?

Timesheet Detail. BigTime describes it as a complete list of timesheet entries for a date range and its template for data export. Check whether your export includes the rate, billable and approval columns before you upload.

How do BigTime task budgets come into Pike?

BigTime sets hours, fee and expense budgets on each task’s Budget/Dates tab. Sum them per project into `budgetHours` and `budgetAmount`, or keep tasks as Pike phases where you track budgets below project level.

What happens to No Charge time?

BigTime bills No Charge hours at zero. Import them with `billableStatus` set to `nonBillable`, so Pike records the hours as non-billable.

Can Pike import our BigTime invoices?

Not through CSV. BigTime posts invoices to QuickBooks and other ledgers, so connect that ledger to Pike and run Import data for invoice history.

Should we delete staffers in BigTime after cutover?

No. BigTime deletes all of a staffer’s information when you delete them. Set them to an inactive status. BigTime removes their access and retains their time for your archive.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
