Migration guide

Move from ClickUp to Pike

Export ClickUp tasks from Workspace settings and time entries from a time tracking card, upload them to Pike templates, and plan five to six weeks from first export to cutover.

Available now

ClickUp exports tasks and time separately: a task export for the Workspace or a List view, and a time tracking card export for time entries. Export both on the day you freeze changes.

  1. 1A Workspace owner or admin runs the task export from Settings → Imports / Exports → Export Items and selects every Space, Folder and List you keep.
  2. 2For selected columns, export a List or Table view to CSV. Set Subtasks to show as separate tasks and expand every group first: ClickUp leaves subtasks and collapsed groups out of a view export.
  3. 3Add a time tracking card to a Dashboard, open its ellipsis menu and click the download icon, then Export. ClickUp emails the CSV, and the person exporting needs the Exporting custom permission.
  4. 4Upload customers, projects, members, tasks, then time entries under Workspace settings → Integrations → CSV, using the ClickUp column mapping.

Free Forever and Unlimited plans allow five List and Table view exports. Business and above have no limit, so run test exports on a paid seat.

Available now

ClickUp records no invoices, so your invoice history exists only in the accounting system you bill from. Connect it to Pike, and connect HubSpot if your deals start there.

  1. 1Connect the accounting system your team invoices from under Workspace settings → Integrations and run Import data for customers and invoice history.
  2. 2Use the customer numbers from that import in your ClickUp customer file, so each Folder links to a ledger customer.
  3. 3If HubSpot deal triggers create ClickUp tasks for your team, connect HubSpot to Pike for companies, contacts and deals, and turn off the ClickUp recipe at cutover.

Pike imports invoice history from the ledger. Pike has no CSV template for invoices.

Entity map

What each ClickUp record becomes in Pike

Column one uses ClickUp’s hierarchy: Space, Folder, List, task, subtask. Decide which level is the client and which is the project before you clean any file.

Folders (or Spaces) per client

Pike: Customers

Carries over: Folder or Space name, where your team set one up per client.

You set in Pike: Customer number, VAT ID and currency.

Template columns: customerName, customerNumber

Lists

Pike: Projects

Carries over: List name, Folder and Space.

You set in Pike: Project number, billing type, budget, hourly rate and project lead.

Template columns: projectNumber, title, customerNumber, leadEmail

Tasks

Pike: Tasks

Carries over: Task name, description, status, assignees, start date, due date, Custom Fields.

You set in Pike: One assignee per row. A ClickUp task can have several, so pick the owner before upload.

Template columns: title, projectNumber, description, status, assigneeEmail, startDate, dueDate

Subtasks

Pike: Tasks

Carries over: The same fields as tasks, with the parent task.

You set in Pike: Load the parent name as `phase`, or as a separate task, depending on how your team uses subtasks.

Template columns: title, projectNumber, phase, assigneeEmail, status

Workspace members

Pike: Members

Carries over: Username and email.

You set in Pike: Team, position, workspace role and cost profile.

Template columns: email, displayName

Time entries (time tracking card)

Pike: Time entries

Carries over: Username, start and stop time, time tracked in milliseconds and as text, task, description.

You set in Pike: Hours from milliseconds: divide Time Tracked by 3,600,000.

Template columns: date, hours, email, projectNumber, taskTitle, note

Billable flag and timesheet approval

Pike: Time entry status

Carries over: Each time entry’s billable flag, and approval details where your Workspace uses timesheet approvals.

You set in Pike: Check whether your card export includes the billable flag. The ClickUp API returns it on every time entry.

Template columns: billableStatus, approvalStatus

Invoices

Pike: Invoice history from accounting

Carries over: ClickUp has no invoice record. Your invoices exist in the accounting system you bill from.

You set in Pike: Nothing. Pike imports invoice history from the ledger.

ClickUp’s help centre documents no bill rate or cost rate field on members. Check whether your team recorded rates in a Custom Field, and set `hourlyRate` on each Pike project from that field or from your rate card.

ClickUp records time estimates on tasks. Check whether your Lists record a budget in a Custom Field, and enter each project’s money budget as `budgetAmount` or hour budget as `budgetHours`, and give every project a `billingType`.

Map time entries flagged billable to `billable` and the rest to `nonBillable`. An admin sets up a Pike cost profile for everyone who tracks billable time, since Pike calculates profit from it.

The plan

Seven steps out of ClickUp

The same steps as the main migration guide, with this tool's screens and settings.

    Freeze scope and export

The CSV files are a snapshot. Write down the export date: at cutover you export the time tracked after it.

    • Pick a cutover Friday after the month’s invoices go out from your accounting system.
    • Run the Workspace task export and a List view export with subtasks shown as separate tasks.
    • Export the time tracking card for every year you keep, and save the raw files unchanged in one folder.

    Clean the exported files

Clean the CSV files. Nobody edits ClickUp tasks or time after export day.

    • Build a customers file from your client Folders and a projects file from your Lists, with a project number and a customer number on every row.
    • Convert Time Tracked from milliseconds to decimal hours, and the start time to a `YYYY-MM-DD` date.
    • Replace each username with the email the person will sign in with. Pike matches people by email.

    Build the workspace shell

Admins set up Pike before the first upload, so they can give imported projects a team and a rate on day one.

    • Create teams and workspace roles. Invite admins and project leads only.
    • Connect your accounting system and run Import data for customers and invoice history.
    • Set a cost profile for everyone who tracks billable time, and match task statuses to your ClickUp statuses.

    Upload in dependency order

Customers, then projects, then members, then tasks and time. Pike reports a row it cannot match with its line number.

    • Download each Pike template and map the ClickUp headers with the ClickUp column mapping.
    • Fix rejected rows and re-upload them. Pike matches on project number, customer number or email and updates the record.
    • Spot check three Lists against ClickUp: task count, assignees, last month’s tracked hours.

One team in Pike for a sprint

CSV has no ongoing sync, so the pilot team moves fully to Pike while everyone else tracks time in ClickUp.

    • The pilot team logs time in Pike only, from Monday. Everyone else tracks time in ClickUp until cutover.
    • Finance approves pilot time in Time admin, in place of ClickUp timesheet approvals, and sends one invoice from Pike.
    • Compare the pilot project’s billable hours in Pike with the same List in ClickUp. A gap means a billable flag or rate needs a fix.

    Cutover weekend

Close ClickUp time tracking on Friday evening and upload the time tracked since your first export.

    • Friday: everyone stops their timers and submits timesheets. Export the time tracking card from the day after your first export to Friday and upload those rows.
    • Turn off any HubSpot recipe that creates ClickUp tasks, so HubSpot creates no new ClickUp tasks.
    • Remove members from the ClickUp Workspace once their time is in Pike, and check your ClickUp billing page for when the seat count drops.

    First month-end in Pike

Done when finance closes a month without opening ClickUp.

    • Approve all time, invoice every billable project from Pike, and check each invoice appears in your accounting system.
    • Write the baseline: days to invoice, unbilled hours at close, margin by project.

Questions

Moving from ClickUp: common questions

Why are subtasks missing from our ClickUp export?

A List or Table view export leaves out subtasks by default. Set Subtasks to show as separate tasks in the view, expand collapsed groups, and export again.

Why can we only export five times?

ClickUp limits List and Table view exports to five on the Free Forever and Unlimited plans. Business and above have no limit, so plan your test exports or run them on a Business seat.

Where do we get one row per time entry?

The task export shows time spent per task. The time tracking card export lists each entry with username, start and stop time and time tracked, and ClickUp emails it as CSV.

Does Pike keep our billable flags?

Yes, where your file includes them. ClickUp records a billable flag on each time entry, so map it to `billableStatus`. Check whether your card export includes the flag, and read it from the ClickUp API if it does not.

What happens to our HubSpot deal automation?

ClickUp’s HubSpot integration creates tasks from deal triggers and sends no Custom Fields. Connect HubSpot to Pike for deals and contacts, and turn off the ClickUp recipe at cutover.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
