Move from monday.com to Pike

Export each monday.com board and its Time Tracking column to Excel, save the files as CSV for the Pike templates, and plan five to six weeks from first export to cutover.

Available now

monday.com exports each board to Excel, one board at a time, so you export every project board on the day you freeze changes and save each file as CSV UTF-8.

  1. 1On each board, open the three-dot menu at the top right and choose More actions → Export board to Excel. The export follows the board’s active filters, so clear filters first.
  2. 2Split any board over 10,000 items with filters before you export. monday.com exports up to 10,000 items at a time.
  3. 3Open the Time Tracking column menu and choose Export Column Data to Excel for item names, the person who tracked time, and totals per item.
  4. 4Save every file as CSV UTF-8 and upload customers, projects, phases, members, tasks, then time entries under Workspace settings → Integrations → CSV, using the monday.com column mapping.

The column export shows time totals per item and person. For one row per session with a date, read the Time Tracking column’s history through the monday.com API.

Available now

monday.com has no invoice record, so your invoice history exists only in the accounting system you bill from. Connect that system to Pike first, then load monday.com boards against its customers.

  1. 1Connect the accounting system your team invoices from under Workspace settings → Integrations and run Import data for customers and invoice history.
  2. 2Copy the customer numbers from that import into the customer column of your monday.com project file, so each board links to a ledger customer.
  3. 3If your team uses the monday.com Pipedrive integration, connect Pipedrive to Pike for organizations, contacts and deals, and leave deal items out of your CSV files.

Pike imports invoice history from the ledger. Pike has no CSV template for invoices.

monday.com has no bill rate or cost rate field. Teams that bill from a board add an hourly rate in a Numbers column and multiply it by tracked time in a Formula Column. Use that rate as `hourlyRate` where your boards have one, and set it by hand where they do not.

A budget exists only where your team added a Numbers column for it. Fill `budgetAmount` for money budgets and `budgetHours` for hour budgets, and give every project a `billingType`.

Pike calculates profit from cost profiles, so an admin sets up a cost profile for everyone who tracks billable time before the pilot starts.

The plan

Seven steps out of monday.com

The same steps as the main migration guide, with this tool's screens and settings.

    1Week 1 · Migration owner, finance

    Freeze scope and export

The board exports are a snapshot. Write down the export date: at cutover you export the time tracked after it.

    • Pick a cutover Friday after the month’s invoices go out from your accounting system.
    • Unarchive every board with open work or billable time from this year. The account export does not include archived boards.
    • Export every project board to Excel and the Time Tracking column of each board, then keep the raw files unchanged in one folder.

    2Week 1 to 2 · Operations lead

    Clean the exported files

Clean the CSV files, since monday.com boards rarely record client, rate or budget in the same columns.

    • Build one projects file from your boards: a project number, a customer number, a billing type and a budget per row.
    • Replace each People column name with the user’s email from the user list in Administration. Pike matches people by email.
    • Convert tracked time to decimal hours. The API reports session duration in seconds, so divide by 3600.

    Build the workspace shell

Admins set up Pike before the first upload, so they can give imported projects a team and a rate on day one.

    • Create teams and workspace roles. Invite admins and project leads only.
    • Connect your accounting system and run Import data for customers and invoice history.
    • Set a cost profile for everyone who tracks billable time.

    Upload in dependency order

    • Download each Pike template and map the board columns with the monday.com column mapping.
    • Upload groups as phases before tasks, so Pike places each item in its phase.
    • Spot check three projects against monday.com: item count, assignees, last month’s tracked hours.

One team in Pike for a sprint

CSV has no ongoing sync, so the pilot team moves fully to Pike while everyone else keeps tracking time in monday.com.

    • The pilot team logs time in Pike only, from Monday. Everyone else tracks time in monday.com until cutover.
    • Finance approves pilot time in Time admin and sends one invoice from Pike.
    • Compare the pilot project’s margin in Pike with the rate and hours from its board. A gap means a rate or cost profile needs a fix in Pike.

    Cutover weekend

Close monday.com on Friday evening and upload the time tracked since your first export.

    • Friday: everyone stops their timers. Export the Time Tracking column, or read session history through the API, for sessions since your first export and upload those rows.
    • Deactivate users who no longer need monday.com. A user must be deactivated before you can reduce seats.
    • Schedule the seat reduction. monday.com applies it at your next renewal date, and only when active seats are at or below the new number.

    First month-end in Pike

Done when finance closes a month without opening monday.com.

    • Approve all time, invoice every billable project from Pike, and check each invoice appears in your accounting system.

Questions

Moving from monday.com: common questions

Why does our monday.com board export stop short?

monday.com exports up to 10,000 items per board at a time, and the export follows the board’s active filters. Clear filters, then split large boards by filter and export each part.

Does the board export include subitems?

Check whether your export includes subitem rows before you upload. monday.com’s help centre says subitem updates do not export to Excel, only item updates.

How do we get time per day out of the Time Tracking column?

Export Column Data to Excel shows totals per item and per person. For one row per session, read the column’s history through the monday.com API, which records each session’s start, end and user.

Are archived boards in the account export?

No. monday.com’s help centre says archived boards and workdocs are not supported in the account data export. Unarchive the boards you need before you export.

Why does the People column show names and no emails?

The People column records names, and Pike matches people by email. Copy each user’s email from the user list in Administration into the assignee and time files.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
