Move from Replicon to Pike

Export Replicon reports as CSV and time from the Time Workbench, map them to Pike templates, and connect QuickBooks or Xero. Budget five to six weeks to cutover.

Available now

Replicon’s own answer to copying your data is to export it with reports, and every report exports to Excel as .csv once you set the format in your user settings.

  1. 1Click User Settings → Settings, set Report Excel Export Format to .csv, keep the comma as the field separator, and click Save.
  2. 2In Reports, run the Client Detail, Project Detail and User Details default reports, add the fields in the column mapping under Settings, and click the Excel icon on each.
  3. 3Export time with a report on the Time Entry Details template, or with the Time Workbench under Cost → Time Workbench, which tracks which entries you already exported.
  4. 4Upload customers, projects, members, tasks, then time entries and expenses under Workspace settings → Integrations → CSV, using the Replicon column mapping.

The Reports Field Matrix lists which report template carries each field. Check it before you build the exports, since each default report enables only some of its template’s fields.

Available now

Replicon transfers time, expenses and invoice data to QuickBooks and Xero for billing. Pike connects to both, so the ledger that already stores your Replicon invoices supplies invoice history to Pike.

  1. 1In Pike, go to Workspace settings → Integrations, add QuickBooks or Xero and run Import data for customers and invoice history before the first CSV upload.
  2. 2Match each Replicon client to the ledger customer Pike imported, and give it the customer number your project file uses.
  3. 3At cutover, stop the Replicon sync to the ledger, so only Pike sends invoices from Monday.

Replicon lists Salesforce as a custom integration through Customer Success. If your sales team works in HubSpot or Salesforce, connect it to Pike directly.

Replicon starts each Time & Materials project from system rates (a project rate, user rates and custom role rates), and the project manager adds rates with effective dates on the Billing Rates tab. Pike reads one `hourlyRate` per project, so take the rate most hours on the project bill at.

Administrators set an hourly cost rate in each user profile, and Replicon multiplies hours by that rate for cost. Set each Pike cost profile from the user’s current cost rate.

Replicon records hours and cost estimates per project and task, and a Fixed Bid amount per week, month or project. Fill `budgetHours` and `budgetAmount` from the project estimates, and map Time & Materials to `timeAndMaterials` and Fixed Bid to `fixedFee`.

The plan

Seven steps out of Replicon

The same steps as the main migration guide, with this tool's screens and settings.

    Freeze scope and export

The files you export in week one are what Pike imports. Freeze edits in Replicon before you export.

    • Set Report Excel Export Format to .csv, then export the Client Detail, Project Detail and User Details reports.
    • Create a time data export in the Time Workbench, mark it Complete and download it, or run a Time Entry Details report.
    • Write down the date and export number of your first time export.

    Clean the exported files

Work in copies of the Replicon files and keep the raw folder untouched. Rename columns to Pike template columns as you go.

    • Build one customer row per client with a `customerNumber`, and add it to every project row.
    • Map the Replicon statuses (Tentative, In Progress, Completed, Deferred, Cancelled, Archived) to the project statuses you use in Pike.
    • Check every user email against the address they will sign in to Pike with. Pike matches members and time on `email`.

Admins set up Pike before the first upload, so imported projects have a lead and imported members have a team.

    • Create teams that match your Replicon user groups. Invite admins and project leads only.
    • Connect QuickBooks or Xero and run Import data, so finance sees ledger customers and invoice history in Pike.
    • Set a cost profile for each member from the hourly cost rate in their Replicon user profile.

    Upload in dependency order

Upload under Workspace settings → Integrations → CSV. Pike reports a missing customer number, project number or email with its line number.

    • Upload customers, projects, members and tasks, then time entries and expenses.
    • Fix rejected rows and upload them again. Pike matches each row on its project number or email and updates the record.
    • Open one Time & Materials and one Fixed Bid project and compare estimates, rate and last month’s hours with the Replicon Project Detail report.

One team in Pike, the rest in Replicon

The CSV route has no ongoing sync. The pilot team logs time in Pike only, and everyone else fills in Replicon timesheets until cutover.

    • Pick one team with a live client project and an invoice due. From Monday its members log time in Pike only.
    • Finance approves the pilot team’s time in Time admin and sends one invoice from Pike in place of Replicon.
    • Compare the pilot project’s margin in Pike with the Replicon Project Profitability report. A gap means a billing or cost rate needs a fix in Pike.

Questions

Moving from Replicon: common questions

How do we get a copy of all our Replicon data?

Replicon’s help centre answers this with reports: export each report you need. Set Report Excel Export Format to .csv first, so Replicon writes every export as CSV.

Why use the Time Workbench instead of a report?

The Time Workbench freezes the time data in an export and tracks deltas, so a later export includes only entries added or changed since the last one. That fits the cutover upload, and it needs a Cost Manager permission profile.

Can we change a project’s billing type before export?

No. Replicon sets Time & Materials or Fixed Bid when you create the project and does not allow a change later. Map each type to a Pike `billingType` in the file.

Should we delete or disable users and projects?

Replicon recommends disabling over deleting, and blocks deletion of users who entered data. A disabled user profile consumes no license, and an archived project accepts no time.

Does Pike import Replicon invoices?

Pike has no CSV template for invoices. Replicon transfers invoice data to QuickBooks or Xero, so connect that system to Pike and Pike imports customers and invoice history from the ledger.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
