Move from Rocketlane to Pike

Build Rocketlane custom reports, export each one as CSV and map it to a Pike template, then connect your CRM and ledger. Budget five to six weeks to cutover.

Available now

Rocketlane exports data through custom reports built on four data sources: Projects, Tasks, People and Roles, and Time tracking. Each report downloads as CSV and maps to a Pike template.

  1. 1Click Create report, choose Tabular, and build one report per data source: Projects, Tasks, People and Roles, Time tracking. Add every field you plan to map, including billing type, budget, currency and approval status.
  2. 2Open each report, click Share and then Export to download the current view as CSV. Tabular reports stop at 10,000 rows, so split the Time tracking report by date range for large accounts.
  3. 3Generate a PDF of each invoice you keep for your archive. Rocketlane’s help centre describes no invoice CSV, and Pike imports invoice history from your ledger.
  4. 4Upload customers, projects, phases, members, tasks, then time entries under Workspace settings → Integrations → CSV, using the Rocketlane column mapping.

The Rocketlane API records time entries in minutes. Check whether your Time tracking export shows minutes or hours, since the Pike `hours` column takes hours.

Available now

Rocketlane creates projects from HubSpot deals and Salesforce opportunities. Pike connects to both, and to the ledger your Rocketlane invoices go to, so sales and finance keep their systems through the move.

  1. 1In Pike, go to Workspace settings → Integrations, add the accounting system finance records Rocketlane invoices in, and run Import data for customers and invoice history.
  2. 2Add HubSpot or Salesforce to bring companies, contacts and deals into Pike. Use the CRM company as the Pike customer for each Rocketlane account.
  3. 3At cutover, turn off the HubSpot workflow or Salesforce trigger that creates Rocketlane projects, so new closed deals open projects in Pike only.

Rocketlane’s help centre lists no accounting integration. Check how finance enters Rocketlane invoices into the ledger today before you rely on ledger invoice history.

Rocketlane rate cards store a bill rate per project role, with a default rate for roles the card leaves out. A project uses a rate card or rates set manually per team member under Budgets and rates. Set the Pike `hourlyRate` from the rate of the role that logs most hours on each project.

Rocketlane calculates cost from an hourly cost rate per person or role, and only some roles see cost and margin. Ask an admin with that access to copy current cost rates into Pike cost profiles.

Fill `budgetAmount` from the project budget and `budgetHours` from budgeted hours. Map Fixed fee to `fixedFee`, Time and material to `timeAndMaterials` and Non-billable to `nonBillable`. Subscription projects store a period budget and number of periods, which fit a Pike retainer.

The plan

Seven steps out of Rocketlane

The same steps as the main migration guide, with this tool's screens and settings.

    Freeze scope and export

The reports you export in week one are what Pike imports. Freeze edits in Rocketlane before you export.

    • Build one tabular report each for Projects, Tasks, People and Roles, and Time tracking, and save them for the cutover export.
    • Check that the Projects report lists archived projects (the Rocketlane API leaves them out unless asked), then click Share → Export on each report and write down the export date.
    • Check the Time tracking file against the 10,000 row limit. If it hits the limit, export again by quarter.

    Clean the exported files

Work in copies of the Rocketlane files. Most of the work is billing types, budgets and minutes.

    • Give every account a customer number and add it to every project row.
    • Map each billing type to `billingType`, and decide per Subscription project whether it becomes a Pike retainer.
    • Convert time to hours where the export shows minutes, and map Not submitted, Submitted and Approved to `draft`, `submitted` and `approved`.

Admins set up Pike before the first upload, so imported projects have a team and a rate on day one.

    • Create teams and positions that match your Rocketlane project roles. Invite admins and project owners only.
    • Connect your ledger and run Import data. Connect HubSpot or Salesforce if Rocketlane projects start from CRM deals.
    • Set a cost profile for each billable team member from their Rocketlane cost rate.

    Upload in dependency order

    • Fix rejected rows and upload them again. Pike matches each row on its project number or email and updates the record.

One team in Pike for a sprint

CSV has no ongoing sync, so the pilot team moves fully to Pike while everyone else works in Rocketlane.

    • The pilot team logs time in Pike only. Everyone else logs and submits in Rocketlane until cutover.
    • Finance approves pilot time in Time admin and sends one invoice from Pike in place of Rocketlane.
    • Compare the pilot project’s margin in Pike with Rocketlane. A gap means a rate card or cost rate needs a fix in Pike.

Questions

Moving from Rocketlane: common questions

Why does our time export stop at 10,000 rows?

Rocketlane caps tabular reports at 10,000 rows and pivot reports at 5,000. Filter the Time tracking report by date range and export one file per range.

How do we map Subscription projects?

Rocketlane Subscription projects store a frequency, a period budget and a number of periods. Set them up as Pike retainers with the same period and allowance.

What happens to rejected time?

Rocketlane removes rejected hours from billable totals, utilization and revenue. Leave rejected rows out of the upload unless finance wants them as `draft`.

Can Pike import our Rocketlane invoices?

Not through CSV. Connect the ledger finance records Rocketlane invoices in, and Pike imports invoice history from it. Keep the Rocketlane invoice PDFs in your archive.

Do new HubSpot or Salesforce deals still create Rocketlane projects?

Until you turn off the trigger, yes. Rocketlane creates projects from closed HubSpot deals and from a Salesforce object you choose. Turn the trigger off at cutover.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
