Move from Scoro to Pike

Export Scoro list views and the Detailed report as CSV and upload them to Pike templates, with five to six weeks from first export to cutover.

Available now

Scoro exports each list view as CSV or XLS for anyone whose permission set has the Export data right, so you export once per entity and upload each file to the matching Pike template.

  1. 1Check that your Scoro permission set includes the Export data right. Without it, the Export button does not show on list views.
  2. 2Open Contacts, Projects, Tasks and Quotes, tick the rows you keep and click Export → CSV. Export users from Settings → Administration → Users and user groups → Export.
  3. 3Before you export projects, add the completed and cancelled statuses to the project list filter. The list shows only active statuses by default (Settings → Site settings → Statuses → Projects).
  4. 4Run Reports → Work → Detailed report for the period you keep and choose Full export. Upload customers, contacts, projects, phases, members, tasks, then time entries under Workspace settings → Integrations → CSV, using the Scoro column mapping.

Scoro bill rates come from the product linked to each activity type and from price lists. Check whether your project export includes the hourly rate, and add `hourlyRate` by hand where it does not.

Available now

Scoro integrates with Xero, QuickBooks and HubSpot. Connect your ledger and CRM to Pike before you load projects, so customers and invoice history come from the ledger.

  1. 1Connect your accounting system under Workspace settings → Integrations and run Import data. Pike imports customers and invoices, so you skip the Scoro invoice export.
  2. 2Use the customer numbers from the ledger import as `customerNumber` in your Scoro project file, so each project links to the ledger customer.
  3. 3If your sales team uses the HubSpot integration for Scoro, connect HubSpot to Pike and leave Scoro quotes that started as HubSpot deals out of your deals file.

Disconnect the Scoro side of each accounting and HubSpot integration at cutover, so invoices go to the ledger from Pike only.

Scoro prices an hour through the product linked to each activity type, and price lists set role prices. Pike’s project template takes one `hourlyRate`, so work out the rate each project bills at before upload.

Labor cost in Scoro is an hour cost per user per date. Set each member’s Pike cost profile from the current hour cost. For projects budgeted from a quote, enter the quote total as `budgetAmount`.

Scoro’s revenue model (fixed_fee, tm_capped or tm_not_capped in the Scoro API) maps to `billingType`: fixed fee to `fixedFee`, uncapped time and materials to `timeAndMaterials`, and capped time and materials to `timeAndMaterials` with the cap as `budgetAmount`. Internal projects import as `nonBillable`.

    Freeze scope and export

On CSV the first export is your migration data. Note its date: you export the time after it again at cutover.

    • Pick a cutover Friday after your last Scoro invoice run of the month, and confirm two people have the Export data right.
    • Add completed and cancelled statuses to the project list filter, then export Contacts, Projects, Tasks, Quotes and the user list.
    • Run Reports → Work → Detailed report with Full export for every year you keep, and save the raw files untouched.

    Clean the exported files

Clean the exported CSV files. Nobody edits Scoro after export day.

    • Keep only companies marked as client in the customer file, and link each person contact to a company customer number.
    • Give every open project a `billingType` from its revenue model and an `hourlyRate` from its activity products or price list.
    • In the time file, convert duration to decimal hours if your export shows it as hh:mm, map confirmed entries to `approved` and billed entries to `invoiced` = `yes`.

    Build the workspace shell

Connect the ledger first, so the customer numbers in your Scoro files match the customers Pike imports from accounting.

    • Create teams and workspace roles. Invite admins and project leads only.
    • Connect Xero, QuickBooks, Exact Online or Sage Intacct and run Import data.
    • Set a cost profile for each member from their Scoro hour cost.

    Upload in dependency order

Upload customers, contacts, projects, phases, members, tasks, time entries, then deals. Pike reports a missing reference with its line number.

    • Download each Pike template and map the Scoro headers with the Scoro column mapping.
    • Fix rejected rows and re-upload them. Pike matches on project number, customer number or email and updates the record.
    • Open one fixed fee, one capped and one retainer project and compare budget, rate and last month’s hours with Scoro.

One team in Pike, the rest in Scoro

On CSV there is no ongoing sync. The pilot team logs time in Pike only, and everyone else keeps logging in Scoro until cutover.

    • Pick a team with an active client project and an invoice due. They stop logging time in Scoro from Monday.
    • Finance approves the pilot team’s time in Time admin and sends one invoice from Pike in place of Scoro.
    • Compare the pilot project’s margin with the same project in Scoro. A gap means a rate or cost profile needs a fix in Pike.

    Cutover weekend

    • Run the Detailed report from the day after your first export to Friday, export it with Full export, and upload those rows to Pike.
    • Monday: everyone logs time in Pike. Lower the Scoro seat count, which takes effect from the next billing period.

    • Give Scoro 30 days’ notice and download your data before termination. Scoro gives 30 days after termination to download it.

Questions

Moving from Scoro: common questions

Why is our Scoro project export missing completed projects?

The Scoro project list shows only active statuses by default. Add completed and cancelled statuses to the filter before you export, or past time entries reference projects Pike cannot find.

What happens to confirmed and locked Scoro time?

Scoro marks each time entry as submitted, confirmed, locked and billed. Map confirmed entries to `approved` and billed entries to `invoiced` = `yes`, and Pike keeps them off new invoices. Time locking is available on Scoro Enterprise and legacy Pro and Ultimate plans.

How do we move Scoro retainers?

Upload them as projects, then turn on the retainer in Pike and set the billing period, hours and fee per period. Unused budget in Pike does not roll over between periods.

Where do our open Scoro quotes go?

Open quotes with an estimated closing date become Pike deals, with the closing date as `closeDate`. Quotes used as project budgets set `budgetAmount` on the project.

Which duration do we map to hours?

Scoro records a duration and a separate billable duration on each time entry. Map duration to `hours`, and review entries marked custom by hand and compare their billable duration with the logged duration.

How long do we have to download our Scoro data?

Scoro’s terms give 30 days after termination to download your data, and 5 days to report a problem with an export. Run your final exports before you give notice.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
