Migration guide

Move from Simplicate to Pike

Export Simplicate modules and the Hours report to Excel, upload them to Pike CSV templates, and connect Exact Online for invoice history. Budget five to six weeks.

Available now

Simplicate puts an Export button on the CRM, Projects, Sales and HRM overviews and on the Hours report, and each file it produces is an Excel copy of the overview with your filters applied.

  1. 1Check that your user group has the Export to Excel right in CRM, Projects, Sales and HRM. Without it, the Export button does not show in that module.
  2. 2Export organizations and persons from CRM (Options → Export), projects from Projects, sales from Sales, and employees from HRM. Clear the filters first, since Simplicate carries them into the file.
  3. 3For time, open Insights → Hours per project, switch to the Detail view and click Export. Each row shows date, relation, project, default service and hour type. The company-wide Hours report export lists every hour entry as a cross-check.
  4. 4Save each file as CSV UTF-8 and upload customers, contacts, projects, members, tasks, time entries, then deals under Workspace settings → Integrations → CSV, using the Simplicate column mapping.

Simplicate’s user rights list no export right for Invoices. For a full invoice export for record keeping, Simplicate’s help centre says to contact its support.

Available now

Simplicate sends debtors, sales invoices and payments to Exact Online. If Exact Online is your ledger, connect it to Pike and Pike imports the same customers and invoice history.

  1. 1In Pike, go to Workspace settings → Integrations, connect Exact Online and run Import data before you upload any Simplicate file.
  2. 2Use the Exact Online debtor numbers as `customerNumber` in your organizations and projects files, so each project links to the ledger customer.
  3. 3At cutover, disconnect the accounting integration in Simplicate, so only Pike sends invoices to Exact Online from Monday.

Simplicate also connects directly to Twinfield and Yuki. Pike has no connector for either, so a team on those ledgers keeps the Simplicate invoice export as its archive.

Simplicate stores rates on the hour types inside each service, with a budget of hours and a rate per hour type. Put the rate each project bills at into `hourlyRate`, and the service’s budgeted hours into `budgetHours`.

Map Time and expenses services to `timeAndMaterials` and Fixed price services to `fixedFee` with the price as `budgetAmount`. Subscription services become Pike retainers, with the per-cycle budget as the allowance.

Cost comes from the cost price per hour in each employee’s schedule, and Simplicate does not reprice hours logged before a schedule change. Set each Pike cost profile with a start date that matches the schedule.

The plan

Seven steps out of Simplicate

The same steps as the main migration guide, with this tool's screens and settings.

    Freeze scope and export

The Excel exports are your migration data. Note their date: you export the hours after it again at cutover.

    • Find your renewal date under Settings → Account → Subscription and pick a cutover Friday at least one month before it.
    • Give two people the Export to Excel right and export organizations, persons, projects, sales, employees and Hours per project with every filter cleared.
    • Ask Simplicate support for a full invoice export for your records, and save every file untouched in one dated folder.

    Clean the exported files

Clean the files in a spreadsheet. Nobody edits Simplicate after export day.

    • Give every organization a customer number, reusing the Exact Online debtor number where one exists.
    • Decide per project: one Pike project per service, or one project with a phase per service. Write the choice into the projects file.
    • Map Ready for invoicing hours to `approved` and Not yet ready for invoicing to `submitted` or `draft`, and check that hours show as decimals.

Connect the ledger first, so the customer numbers in your Simplicate files match the customers Pike imports.

    • Create teams and workspace roles, and choose who approves time in place of Simplicate’s project and week review.
    • Connect Exact Online and run Import data.
    • Set a cost profile for each member from the cost price in their Simplicate schedule.

    Upload in dependency order

    • Upload each file with the Simplicate column mapping open next to it.
    • Turn on the retainer for each project that came from a Subscription service.

One team in Pike for a sprint

CSV has no ongoing sync. The pilot team registers hours in Pike only, and everyone else registers in Simplicate until cutover.

    • Pick a team with an active time and expenses project and an invoice due. They stop registering hours in Simplicate from Monday.
    • Finance approves pilot time in Time admin and sends one invoice from Pike to Exact Online.
    • Compare the pilot project’s margin with its Simplicate project result. A gap means a rate or cost profile needs a fix.

    • The account owner emails Simplicate support to cancel at least one month before renewal.

Questions

Moving from Simplicate: common questions

Why is the Export button missing in Simplicate?

Each module has its own Export to Excel right in the user group settings. Turn it on for CRM, Projects, Sales and HRM for the people running the migration.

How do Simplicate invoice methods map to Pike?

Time and expenses maps to `timeAndMaterials`, Fixed price to `fixedFee` and Subscription to a Pike retainer. One Simplicate project can combine all three, so split those projects into phases or separate Pike projects.

Which hours count as approved?

Simplicate marks hours Ready for invoicing once they pass the approval step chosen in Hours to invoice as. Map those to `approved`, and decide with finance how to load hours still waiting in Week review.

Can Pike import our Simplicate invoices?

Not through CSV. Simplicate sends invoices to Exact Online, Twinfield or Yuki. Pike imports invoice history from Exact Online, and teams on Twinfield or Yuki keep Simplicate’s invoice export as their archive.

How long can we export after we cancel?

With one month’s notice, Simplicate gives 30 days to export data before it blocks the environment. A read-only license for one user costs €70 per month and runs for one year.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
