Migration guide

Move from Synergist to Pike

Export Synergist Key reports and posted timesheets as CSV, upload them to Pike templates, and connect the ledger your accounts link posts to. Budget five to six weeks.

Available now

Synergist exports its Key reports and the posted timesheets list as CSV, so you run one report per entity and upload each file to the matching Pike template.

  1. 1Run Reports → Key reports → Production → Job / phase report at job level and again at phase level, and choose the export. The export adds the client and job / phase type to the PDF columns.
  2. 2Run Reports → Key reports → Time & materials → Timesheet list (real timesheets) as an export for the period you keep. The export adds job, phase, charge code and resource details, plus sales invoice number and date. Run the pending version separately: one report cannot include both.
  3. 3Export client rates from the Rate card tab on each client with a client specific rate card. Check whether your Job / phase export includes estimated hours and quoted value, and copy them from the job list columns Estimated hours and Quoted where it does not.
  4. 4Upload customers, contacts, projects, phases, members, tasks, then time entries under Workspace settings → Integrations → CSV, using the Synergist column mapping.

Synergist’s help centre documents no export for the organisation, contact or user lists. Build a list view with the columns you need and check whether your account offers an export on it, or copy the rows from the Organisation analysis Key report.

Available now

Synergist posts invoice batches through its accounts link to Xero, QuickBooks Online, Sage Intacct, Business Central and other packages, so your invoice history already exists in the ledger. Connect the same ledger to Pike.

  1. 1Connect your accounting system under Workspace settings → Integrations and run Import data before you upload any Synergist CSV. Pike imports customers and invoice history from the ledger.
  2. 2Use the ledger customer numbers as `customerNumber`. Synergist posts each client’s transactions under the code in Financial → Posting account on the client record, so that code matches the ledger account.
  3. 3Match Synergist timesheets to ledger invoices on the sales invoice number column of the Timesheet list export. A blank invoice number means the time is still in WIP.

Stop posting invoice batches from the Synergist accounts link at cutover, so finance sends new invoices to the ledger from Pike only.

Entity map

What each Synergist record becomes in Pike

Column one uses Synergist’s labels. Synergist records every cost at phase level, not job level, so phases carry most of the detail. Pike matches people on the email of each Synergist user.

Organisations (clients)

Pike: Customers

Carries over: Name, code, handler, default currency, internal client flag, active or inactive status.

You set in Pike: Leave internal clients out, or turn their jobs into non-billable Pike projects.

Carries over: Job number, title, client, status (quote, live, in-house, on hold, special), job type, start and due date, handler, team.

Pike: Time entries

Carries over: Date, work done, normal hours, charge rate, recommended charge, total cost, job, phase, charge code, resource, sales invoice number and date.

Synergist takes a charge rate from the charge code, then staff, staff skill, a client price, and the job estimate where your company setting Timesheets use job estimated charge rates is ticked. Pike takes one `hourlyRate` per project, so use the client price where one exists and the charge code rate otherwise.

A Synergist estimate is your internal budget in hours and recommended charge, and the quote is the client price. Fill `budgetHours` from estimated hours and `budgetAmount` from the quoted value.

Synergist stores cost rates on department, charge code, team, staff and client price. Pike calculates profit from cost profiles, so an admin sets one per member from the staff cost rate before the pilot.

    Freeze scope and export

The CSV route copies a snapshot. Run every Key report the same day, after the month-end period closes in Synergist.

    • Pick a cutover Friday after the month’s invoice batches post from Synergist to your accounts package.
    • Export the Job / phase report at job and phase level, the Timesheet list (real and pending), the Expenses and Organisation analysis Key reports, and each client rate card.
    • Untick Filter by date on reports that offer it, so they return every record. Keep the raw files unchanged in one folder.

Clean the CSV files. Nobody edits Synergist after export day.

    • Use the Synergist job number as `projectNumber` and the organisation code as `customerNumber`, on every job, phase and timesheet row.
    • Choose a billing type per job: `fixedFee` where you invoice against a quote, `timeAndMaterials` where you bill time at rate card, `nonBillable` for internal client jobs.
    • Set `invoiced` from the sales invoice number column, and `billableStatus` to `nonBillable` on rows for internal clients.

    Build the workspace shell

Admins set up Pike before the first upload, so they can give imported projects a team and a rate on day one.

    • Create teams that match your Synergist teams, workspace roles and deal statuses. Invite admins and job handlers only.
    • Connect the ledger your accounts link posts to and run Import data.
    • Set a cost profile for each member from their Synergist staff cost rate.

    Upload in dependency order

Customers, contacts, projects and phases, then members, tasks, time and expenses. Pike reports a row it cannot match with its line number.

    • Download each Pike template first, then upload under Workspace settings → Integrations → CSV. Re-upload fixed rows: Pike matches on the key and updates the record.
    • Rebuild retainer jobs and client budget pots as Pike retainers with period, hours and fee.

One team in Pike, the rest in Synergist

CSV has no ongoing sync, so the pilot team moves fully to Pike while everyone else posts timesheets in Synergist.

    • The pilot team logs time in Pike only. Everyone else posts timesheets in Synergist.
    • Finance approves pilot time in Time admin and sends one invoice from Pike in place of a Synergist sales invoice.
    • Compare the pilot job’s margin with the Synergist Job / Phase profitability report. A gap means a rate or cost profile needs a fix in Pike.

    Cutover weekend

Close Synergist on Friday evening. Everyone opens Pike on Monday.

    • Friday: approvers clear pending timesheets. An admin opens Time & Expenses → Posted timesheets, filters to the dates since the first export, ticks every row and clicks Export → Posted timesheets export, then uploads those rows to Pike.
    • Post the last invoice batch through the accounts link, then stop posting from Synergist.
    • Ask your Synergist account manager how licences end and how long your data remains available. Synergist’s help centre has no article on cancellation.

Done when finance closes a month without opening Synergist.

    • Approve all time, invoice every billable project from Pike, and check each invoice appears in your ledger.
    • Filter the Timesheet list export for rows with no sales invoice number from before cutover. That is unbilled WIP: bill it from Pike.
    • Run the WIP and Revenue management reports one last time and save them with the raw exports.

Questions

Moving from Synergist: common questions

Why does our timesheet export miss some time?

The Timesheet list runs as either real or pending timesheets, never both. Run the pending version as well, and check that no team has neither Timesheet approval nor Post on submit ticked. Synergist then records submitted time as pending and never posts it.

How do we find unbilled time before we leave Synergist?

Filter the Timesheet list export for rows with a blank sales invoice number. Synergist shows the column blank until time is ticked off against an invoice, so those rows are still in WIP.

Do Synergist phases come across?

Yes. Each phase becomes a Pike phase on its project, using the job number as `projectNumber`. Synergist records estimated and actual costs at phase level, so add phase estimates up into one project budget.

Can Pike import our Synergist sales invoices?

Not through CSV. Synergist posts invoice batches to your accounts package, so connect that ledger to Pike and Pike imports invoice history from it.

Where do charge codes go?

A charge code names the type of work, such as Design or Account Management. Upload the codes used on live jobs as Pike tasks, and set rates on the project.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
