Migration guide

Move from Teamleader to Pike

Export Teamleader Focus overviews and the Global HR report to Excel, save them as CSV for Pike templates, and connect Exact Online for invoices. Budget five to six weeks.

Available now

Teamleader Focus exports each overview to Excel through a column template you build once, so you export companies, contacts, deals, projects and time as separate files and save each one as CSV UTF-8.

  1. 1Turn on the Export toggle for the person running the migration under Settings → Users → Permissions → General. Without it, the Export button does not show on overviews.
  2. 2On the Companies, Contacts and Deals overviews, click Export, choose Create new template and pick up to 50 fields. Export companies and contacts as two segments, since Teamleader does not export company and contact addresses in one file.
  3. 3On the projects overview, click Export to Excel next to Add project with no filter, and choose the Projects (with lines) sheet for groups and tasks. For time, run the Global HR report under Settings → Users for the full date range you keep.
  4. 4Upload customers, contacts, projects, phases, members, tasks, time entries, then deals under Workspace settings → Integrations → CSV, using the Teamleader column mapping.

Financial columns on the projects export (budget spent, margin) show only for users with access to project financials. Run that export as an admin.

Available now

Teamleader Focus syncs invoices, customers and payment status two ways with Exact Online. If that is your ledger, connect Exact Online to Pike and Pike imports the same invoice history.

  1. 1In Pike, go to Workspace settings → Integrations, connect Exact Online and run Import data before you upload any Teamleader file.
  2. 2Use the Exact Online customer numbers as `customerNumber` in your companies and projects files, so each project links to the ledger customer.
  3. 3If your sales team syncs contacts between Teamleader Focus and HubSpot, connect HubSpot to Pike too, and leave those contacts out of your contacts file.

Teamleader Focus allows one accounting integration per account. If yours is Yuki or Octopus, Pike has no connector for it: keep the Teamleader invoice export as your archive.

Teamleader Focus bills hours at the user’s external price (Settings → HR) or the price per work type, and admins or project owners can override it with custom user rates per project. Put the rate each project bills at into `hourlyRate`.

Teamleader sets the billing method on the project, group or task. Map Time and materials to `timeAndMaterials`, Fixed price to `fixedFee` with the price as `budgetAmount`, and Non-billable to `nonBillable`.

Cost comes from each user’s internal rate under Settings → Users. An admin sets the same figure as the member’s Pike cost profile, so project margin matches Teamleader from the first week.

    Freeze scope and export

The Excel exports are a snapshot. Write down the export date: you export the time after it again at cutover.

    • Pick a cutover Friday at least 15 days before your Teamleader renewal date, after the month’s invoices reach Exact Online or your ledger.
    • Give two people the Export permission, build one export template per overview, and export companies, contacts, deals, projects and the Global HR report.
    • Export outgoing invoices as CSV and save every file untouched in one dated folder. Teamleader deactivates the account at renewal once you cancel.

    Clean the exported files

Save each Excel file as CSV UTF-8 and clean it there. Nobody edits Teamleader after export day.

    • Join the contacts segment to the companies segment with a lookup on company name, and give every company a customer number.
    • Give each project one `billingType`. Split projects whose groups mix Fixed price and Time and materials.
    • Convert time durations to decimal hours, and map the Billable toggle to `billableStatus`.

    Build the workspace shell

Connect the ledger first, so the customer numbers in your Teamleader files match the customers Pike imports.

    • Create teams, workspace roles and deal statuses that match your Teamleader deal phases.
    • Connect Exact Online or your ledger and run Import data.
    • Set a cost profile for each member from their Teamleader internal rate.

    Upload in dependency order

    • Upload each file with the Teamleader column mapping open next to it.
    • Type Orbit’s future bookings into the allocations template and upload it after members.

One team in Pike for a sprint

CSV has no ongoing sync. The pilot team tracks time in Pike only, and everyone else tracks in Teamleader until cutover.

    • Pick a team with an active time and materials project and an invoice due. They stop tracking time in Teamleader from Monday.
    • Finance approves pilot time in Time admin and sends one invoice from Pike to Exact Online or your ledger.
    • Compare the pilot project’s margin with the Teamleader project financials. A gap means a rate or cost profile needs a fix.

    Cutover weekend

Close Teamleader on Friday evening and upload the time tracked since your first export.

    • Friday: run the Global HR report from the day after your first export to Friday and upload those rows.
    • Deactivate users under Settings → Users → Deactivate user, then lower the number of user slots. Deactivating alone does not lower the licence count.
    • Disconnect Teamleader from Exact Online, so only Pike sends invoices from Monday.

    First month-end in Pike

Done when finance closes a month without opening Teamleader.

    • Approve all time, invoice every billable project from Pike, and check each invoice appears in your ledger.
    • Run every export again for the archive, including the invoice CSV.

Questions

Moving from Teamleader: common questions

Why does our project timesheet export show no task names?

The Excel version of the project timesheet contains the description of each time tracking, not the task title. Use the Global HR report under Settings → Users for the migration file, and check its columns before export.

Can we export companies and their contacts in one file?

Teamleader does not export company and contact addresses together. Export companies and contacts as two segments and join them on company name before you fill `customerNumber` on each contact.

What happens to time tracked by people we already deactivated?

The Global HR report includes time of deactivated users. Add those people to the members file with their email, so Pike can match their time entries.

How do we move Teamleader Orbit plans and budgets?

Teamleader’s help centre documents no Orbit export. Type future bookings into the Pike allocations template and project budgets into the projects file, reading each figure from Orbit.

When do we lose access to Teamleader Focus?

An admin cancels at least 15 days before the renewal date, and Teamleader deactivates the account at renewal. Teamleader removes the data after deactivation, so run your final exports before that date.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
