Move from Toggl Track to Pike

Connect Toggl Track with an API token, run Import data, and keep syncing while teams move one at a time. Budget five weeks from connection to cutover, then one month-end in Pike.

Available now

Pike reads Toggl Track through its API, so clients, projects, tags, workspace users and time entries import with their links intact.

  1. 1In Toggl Track, open your Profile and copy the API token at the bottom of the page. Use a workspace admin’s token: in Toggl, regular users reach only their own entries and the projects they manage.
  2. 2In Pike, go to Workspace settings → Integrations → Toggl Track, click Add integration, and paste the token.
  3. 3Click Import data. The stepper imports clients, projects, tags, workspace users and time entries, in that order.
  4. 4Turn on Keep syncing. Pike imports new Toggl Track time every 3 hours while the rest of the team finishes the month in Toggl.

Pike never writes to Toggl Track, and billable rates, time estimates and fixed fees do not import. A client or project removed in Toggl Track shows as Removed in Toggl Track in Pike, with its history intact.

Available now

Use CSV when nobody can share an admin API token, or when you bring over only part of your history.

  1. 1Open the Detailed report, set the date range, add the columns you need with the + icon, and click Export → CSV. CSV and Excel exports need a paid Toggl plan, and the file covers only the active workspace.
  2. 2Map Email to `email` and Billable to `billableStatus`. Read every other column name from your file’s header row before you map it.
  3. 3Keep invoice history in your accounting system and connect that system to Pike. Toggl exports its invoices as PDF only, and the CSV route does not import invoices.
  4. 4Upload customers, projects, members, then time entries under Workspace settings → Integrations → CSV, using the CSV templates.

Toggl’s Data Export page exports projects and clients as JSON, which Pike does not read. Build the customer and project files from the Detailed report export, or use Native sync.

Toggl applies the most specific of five billable rates: workspace, workspace member, project, project member and task. Pike imports none of them, so set one hourly rate per project in Pike and check projects where Toggl used project member or task rates.

Time estimates (paid plans) and the Fixed Fee field (Premium and Enterprise) do not import either. Enter them as Pike budgets before the pilot, so budget burn on fixed fee work shows from the first week.

Labor costs on Toggl Premium belong in Pike cost profiles. On the Starter plan, a rate change in Toggl rewrites the amounts on past entries, so export the Detailed report with amounts before anyone edits a rate.

Seven steps out of Toggl Track

The same steps as the main migration guide, with this tool's screens and settings.

    Freeze scope and export

On Native sync Pike reads Toggl Track directly. The export in week one is your archive copy.

    • Pick a cutover Friday after the last Toggl timesheet approval or invoice run of the month.
    • An admin runs Settings → Data Export for projects, clients and invoices, and exports time entries one year at a time. Toggl compiles one export per workspace at a time.
    • List the projects with a Fixed Fee, a time estimate, or project member and task rates. You enter these in Pike after the import.

Clean the data in Toggl Track

Pike imports what Toggl stores, so merge clients and fix emails inside Toggl before you click Import data.

    • Merge duplicate clients and give every active project a client.
    • Archive projects nobody logs time on. Toggl restores archived projects at any time, and Pike still imports their history.
    • Check every workspace user has the email they will sign in to Pike with.

    Build the workspace shell

Toggl stores no customer numbers, budgets or cost rates, so admins set those up in Pike before the import.

    • Create teams and workspace roles. Invite admins and project leads only.
    • Connect your accounting system and run its Import data, so finance sees ledger customers and invoices in Pike.
    • Set a cost profile for everyone who logs billable time, from Toggl labor costs where you have them.

One team in Pike, the rest in Toggl

Turn on Keep syncing and move one team with a live client project and an invoice due.

    • The pilot team logs time in Pike only. Everyone else tracks in Toggl, and Pike imports that time every 3 hours.
    • Finance approves the pilot team’s time in Time admin and sends one invoice from Pike.
    • Compare the pilot project’s revenue with the Toggl Detailed report for the same week. A gap means a project rate in Pike differs from the rate Toggl applied.

    Cutover weekend

Close Toggl Track on Friday evening. Deactivate users in place of a read-only mode: deactivation deletes no tracked time in Toggl.

    • Friday: everyone stops their timers, then an admin clicks Sync now in Pike and turns Keep syncing off.
    • Deactivate users in Toggl, then cancel the subscription. Toggl bills vacant licenses until the billing cycle ends, so remove users before you cancel.
    • Monday: everyone logs time in Pike. Pin one message with links to log time, find tasks and ask for help.

    First month-end in Pike

Done when finance closes a month without opening Toggl Track.

    • Approve all time, invoice every billable project from Pike and send the invoices to accounting.
    • After the billing cycle ends, Toggl moves the organization to the Free plan if it is within the Free user limit, and suspends it if not. Run any last report before then.
    • Close the Toggl account only once the archive exports have two owners. Closing hides the data, and erasure needs a separate request to Toggl support.

Questions

Moving from Toggl Track: common questions

Why do our Toggl rates not show up in Pike?

Pike’s Toggl Track integration imports clients, projects, tags, users and time entries, and no rates or budgets. Set the hourly rate and budget on each project in Pike before the pilot, using the rates Toggl shows in the Detailed report.

Does Pike import Toggl tasks?

No. Native import reads clients, projects, tags, workspace users and time entries. Create tasks in Pike for active projects, or upload them with the Tasks CSV template.

Toggl says we hit an API limit. What happens to the import?

Toggl caps API requests per user per organization at 30 an hour on Free, 240 on Starter and 600 on Premium. Run Import data while the organization is still on its paid plan, and retry anything listed under Sync issues.

What happens to approved timesheets in Toggl?

Toggl locks an approved timesheet against edits by the user. Pike’s Toggl import reads the description and billable flag of each entry, so approve open weeks in Time admin once the import finishes.

Can we get our Toggl time back after we delete the organization?

Toggl stores time entries from a deleted organization for 6 months and sends an export on request to support in that window. Export everything before you delete, so you never depend on that request.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
