Move from Productive to Pike

Export each Productive table to CSV, map the columns to Pike templates, and connect your accounting system for invoice history. Budget five to six weeks.

Available now

Productive exports any table view as CSV, so you export once per entity on the day you freeze changes.

  1. 1Open each list in table layout, click the Export icon next to the filters and choose CSV. Productive names CRM → Contacts, Project Management → Tasks and Time → Company Time as table views you export this way.
  2. 2Switch the deals board to table layout before you export deals and budgets. Productive does not export the board view.
  3. 3Download rate cards as CSV from Reports, and include deactivated people in the people filter so every time entry still has an owner.
  4. 4Upload customers, contacts, projects, members, then tasks, time entries, expenses and deals under Workspace settings → Integrations → CSV, using the Productive column mapping.

Productive’s help centre does not say whether table exports include archived records or cap the number of rows. Check each file’s row count against the filtered list before you upload.

Available now

Productive pushes invoices to Xero, QuickBooks, Exact and e-conomic, so your invoice history already exists in your books. Connect the same system to Pike.

  1. 1Connect your accounting system under Workspace settings → Integrations and run Import data. Pike imports customers and invoice history from the ledger.
  2. 2On cutover day, disconnect Productive from your accounting system, so only Pike sends invoices from then on.
  3. 3If HubSpot syncs deals, companies and contacts into Productive, connect HubSpot to Pike as well. After you disconnect, the HubSpot data remains in Productive and no longer syncs.

Pike syncs with your accounting system every 3 hours after the first import, or in real time on the Enterprise plan.

Productive stores bill rates on rate cards, company-wide or per client, and on each service as a price per hour, day or piece. Set the hourly rate on the Pike project, or on its tasks where services priced the work differently.

A Productive budget tracks money and hours, so fill both `budgetAmount` and `budgetHours`. Map Fixed services to `fixedFee`, Time and Materials to `timeAndMaterials`, and Non-billable to `nonBillable`.

Productive stores cost rates on each person as a salary or hourly rate, visible to admins only, with an optional organization overhead. Pike calculates profit from cost profiles, so an admin sets them up from those rates before the pilot.

    Freeze scope and export

The CSV route copies a snapshot. Any edit in Productive after export day needs retyping in Pike.

    • Pick a cutover Friday after the month’s invoices go from Productive to your accounting system.
    • On one day, export every table to CSV: companies, people, projects, deals and budgets in table layout, tasks, Company Time, expenses, and rate cards from Reports.
    • Keep the raw files unchanged in one folder. Productive’s terms allow it to delete customer data after the contract ends, so this folder is your archive.

    Clean the exported files

Clean the CSV files. Nobody edits Productive after export day.

    • Give every company a customer number. Reuse the Productive company code where your team set one.
    • Decide per project: one Pike project per budget, or one project with a phase per budget. Write the choice into the projects file.
    • Map each workflow status to a Pike task status, and each service billing type to `billingType`.

    Build the workspace shell

Admins set up Pike before the first upload, so they can give imported projects a team and a rate on day one.

    • Create teams, roles, and deal statuses that match your Productive pipelines.
    • Rebuild Productive cost rates and overhead as Pike cost profiles for everyone who logs billable time.
    • Connect accounting and run Import data for customers and invoice history.

    Upload in dependency order

Customers, then projects, then members, then tasks, time, expenses and deals. Pike reports a row it cannot match with its line number.

    • Upload customers, contacts, projects and members, then the remaining files.
    • Check whether your Company Time export shows time in hours or minutes. The Pike `hours` column takes hours.
    • Spot check three projects against Productive: budget, rate, last month’s hours.

One team in Pike for a sprint

CSV has no ongoing sync, so the pilot team moves fully to Pike while everyone else works in Productive.

    • The pilot team logs time in Pike only. Everyone else logs in Productive until cutover.
    • Finance approves pilot time in Time admin and sends one invoice from Pike, while the rest of the team invoices from Productive.
    • Compare the pilot project’s profit with its Productive budget. A gap means a rate or cost profile needs a fix in Pike.

Questions

Moving from Productive: common questions

How do Productive deals and budgets come into Pike?

Productive stores both as deals and flags production budgets. Open sales deals import through the Pike deals template, and each budget becomes a Pike project, or a phase where one Productive project holds several budgets.

Can Pike import our Productive invoices?

Not through CSV. Productive pushes invoices to Xero, QuickBooks, Exact or e-conomic, so connect that system to Pike and Pike imports invoice history from the ledger.

What happens to time that is not yet approved in Productive?

Productive marks time as Draft, Submitted, Unapproved, Rejected, Approved or Auto approved. Map Approved and Auto approved to `approved`, Submitted to `submitted`, and Draft and Unapproved to `draft`. Decide with finance whether rejected time imports at all.

How do we move Productive rate cards?

Download them as CSV from Reports in Productive. An admin sets the rates on Pike projects and tasks from that file, since the CSV templates carry an hourly rate per project.

Why are some deals missing from our export?

Productive does not export the board view. Switch the deals board to table layout and export again.

Support through the move and after it

Migration support comes with every plan: we map your exports, run the imports with you and check the counts before cutover. After go-live, hypercare until the first month-end closes in Pike. Then we hand over to your admins and stay close for as long as you use Pike. Email hello@usepike.com with your source tool and we will say which route fits.
