The Paylocity integration syncs employees from Paylocity into Pike members, cost centers into teams, and approved time off into Pike time off. When you close a Pike pay period, approved regular and overtime hours for hourly employees go to the open Paylocity payroll batch through Pay Entry. HR works in Paylocity as before. Resource managers plan on the hours people are available, and hourly payroll uses the same approved timesheets you bill from.

At a glance

Before you start

You need:
  • The workspace admin role in Pike.
  • Your Paylocity company ID.
  • A Paylocity API client ID and client secret for your company. Request them from Paylocity, and ask for access to employee data and the Pay Entry permission. Paylocity issues the credentials, and you can renew them in the Paylocity developer portal before they expire.
  • The Time Off Approval webhook, on every plan. Paylocity sends approved time off to Pike through this webhook, and Pike applies it on the next sync, or in real time on the Enterprise plan. Paylocity support turns it on for your company. Pike shows the address to give them after you connect.
  • For real-time employee sync on the Enterprise plan, the New Hire, Employee Change and Employee Termination webhooks, turned on the same way.
  • The earnings codes your company uses for regular and overtime hours, set up in Paylocity. You check the mapping to Pike pay lines during setup.
  • Pike time off types for the Paylocity time off types you use. You map each Paylocity type during setup. See Time off.

Connect Paylocity

1

Open the integration

Go to Workspace settings → Integrations → Paylocity and click Add integration.
2

Enter your credentials

Enter your Paylocity company ID, the client ID and the client secret, then click Connect. Pike checks the credentials and shows the company name.
3

Choose the cost center for teams

Under Teams, choose which Paylocity cost center level becomes Pike teams, for example cost center 1 for departments.
4

Map time off types

Under Time off types, choose a Pike time off type for each Paylocity time off type. Pike suggests a mapping from the type names.
5

Check pay codes

Under Pay codes, check the Paylocity earnings code for Normal hours, Overtime 1 and Overtime 2.
6

Choose what syncs

In the What syncs with Paylocity card, turn Read and Send on or off for each entity, and choose whether to turn on Invite new employees.
7

Import

Click Import data. Cost centers import first, then employees, then time off.
The integration page shows Connected, the Paylocity company name, Last synced and Next sync.

What syncs

Employees

Time off

Only approved requests import. Default type mapping: vacation to Vacation, sick to Sick, parental to Parental, time off in lieu to Time off in lieu, unpaid to Unpaid leave, and every other type to Vacation. Each type counts toward the member’s norm hours as set on the Pike type.

Compensation

Sync compensation to cost profiles is off by default. Only admins and finance users can turn it on. See Cost profile.

Hours to payroll

Send hours to payroll is off by default. When on, closing a pay period in Pike sends each hourly employee’s approved hours to the open Paylocity payroll batch for the next check date, through Pay Entry. Each line uses the employee’s default cost centers in Paylocity. The working time policy sets the split between regular and overtime hours. Salaried employees’ hours are not sent. The Pike pay period shows Sent to Paylocity with the check date. Pike does not run payroll or calculate tax.

Matching and duplicates

On the first import, Pike matches before it creates:
  • An employee matches a Pike member with the same work email. A match links the two, and Paylocity values replace the Pike values for the fields in the mapping.
  • A cost center matches a Pike team with the same name. A job title matches a Pike position with the same name.
  • Time off always imports as new time off. Time off already entered in Pike for the same member and dates stays, and the Paylocity request is listed in Sync issues as an overlap.
An employee with no matching member appears under Unmatched employees on the integration page. Click Invite to send a Pike invite, or Link to member to link the employee to a member with a different email. With Invite new employees on, Pike sends the invite automatically with the default role the admin chose.

Which system wins

Edit Paylocity-owned fields in Paylocity. Pike shows them as read-only with the Paylocity marker.

Sync schedule

Pike syncs Paylocity every 3 hours. On the Enterprise plan, changes sync in real time. Closing a pay period is an action a person takes, so its hours go to Paylocity straight away on every plan. See How sync works.

Sync settings

While Paylocity is connected, the What syncs with Paylocity card is below the top button row on the integration page. Toggles save immediately. New connections start with Read on for employees and time off, Invite new employees off, compensation off and Send hours to payroll off.

How it works

Use it in Pike

Plan around approved leave

Open Members → Allocations to see each person’s capacity for the week. Approved Paylocity time off shows on the day with its type, and the hours are already removed from capacity, so an over-allocated day stands out before the work is due. See Workspace capacity.

Onboard a new hire

When a new employee is hired in Paylocity, they appear in Pike with their team, position and manager on the next sync. Turn on Invite new employees, or click Invite under Unmatched employees, and the person can log time on their first day.

Offboard a leaver

When an employee is terminated in Paylocity, the member is deactivated in Pike. Their logged time, allocations and history stay on every project, and they stop counting toward capacity from the termination date.

Pay hourly staff from approved time

Go to Members → Payroll, resolve any flags, and click Close period. Hourly employees’ regular and overtime hours go to the Paylocity payroll batch, so payroll and invoices use the same approved hours and nobody keys hours into Paylocity. See Pay periods and payroll.

Deletes and removed records

An integration never deletes Pike data. An employee removed from Paylocity is marked Removed in Paylocity on the member, stays in Pike with their history, and stops syncing. Paylocity does not accept edits to hours after Pay Entry receives them, so a correction after close goes to the next pay period as an adjustment line.

Troubleshooting

Limits

  • Pike does not write to employee records in Paylocity. Pike sends hours through Pay Entry only.
  • Hours go through Pay Entry, not as Time and Labor punches.
  • Salaried employees’ hours are not sent.
  • Only closed pay periods are sent, and only approved time counts. Paylocity does not accept edits to submitted hours.
  • Pike does not run payroll or calculate pay, tax or deductions. Your payroll admin processes the payroll in Paylocity.
  • Pending or denied time off requests do not sync. A change or cancellation of approved time off in Paylocity does not sync. Update the time off in Pike.
  • Time off approved in Paylocity Time and Labor does not sync. Only time off approved in Paylocity HR and Payroll reaches Pike.
  • Time off approved before the Time Off Approval webhook is turned on does not import. Enter earlier time off in Pike.
  • Compensation sync is off until an admin or finance user turns it on.

Disconnect

Go to Workspace settings → Integrations → Paylocity and click Disconnect. Syncing stops and every member, team, position, time off entry and sent pay period stays in Pike with its history. Reconnecting the same Paylocity company relinks the members.
